Cancellation & refund policy

How provider-set refund windows, cancellations, grace requests, and refund timing work on BetterSchool.

Every activity on BetterSchool has a refund policy set by the provider. You can see the refund policy on the activity page before you book, so you always know what to expect.

How refund policies work

When a provider creates an activity on BetterSchool, they choose one of two refund policies:

  • Refundable — The provider sets a deadline, such as 2 days, 7 days, or up to 30 days before the activity starts. If you cancel before that deadline, you receive a full refund automatically.
  • No refunds — The booking is final. No automatic refunds are available. This is shown clearly on the activity page before you complete your purchase.

The refund deadline is always calculated from the start date of the activity. For example, if an activity starts on March 15 and the provider set a 7-day refund window, you would need to cancel by March 8 to receive a refund.

How to cancel a booking

  1. Go to your account and open My bookings to see your upcoming activities.
  2. Select the activity you want to cancel.
  3. Click Cancel booking and follow the prompts. You'll see the refund amount and any applicable fees before you confirm.

Automatic refunds

If you cancel within the provider's refund window, your refund is processed automatically — no waiting for approval. The refund amount is your original booking total minus a small payment processing fee (2.9% + $0.30), which covers the non-recoverable cost charged by our payment processor.

For example, if you paid $100 for an activity and cancel within the refund window, you would receive $96.81 back ($100 minus the $3.19 processing fee).

Grace refund requests

If the refund deadline has passed or the activity has a no-refunds policy, you can still submit a grace refund request with an explanation. The activity provider will review your request and decide whether to approve or decline it. You'll be notified of their decision, typically within 24 to 48 hours.

Provider cancellations

If a provider cancels an activity, every affected booking receives a full refund automatically. In this case, the provider covers the processing fee — you receive your entire booking amount back. We'll notify you by email as soon as the cancellation happens.

Refund timing

Once a refund is approved or processed, it typically takes 5 to 10 business days to appear on your original payment method, depending on your bank or card issuer.
